To support consistent execution of shipment release activities that ensure only
accurate, approved, and properly documented materials are released for outbound
distribution in compliance with quality and regulatory requirements.
Scope
This WIN Execution Guide applies to Warehouse-controlled outbound shipment
activities, including verification, authorization, and release of materials to
customers or other authorized destinations.

Section 6 — AA (Auditable Artifacts)
AA-WH-SHIP-RELEASE — Shipment Release
This artifact documents verification and authorization of outbound shipments.
Minimum evidentiary expectations include:
- Material identity and shipment details
- Confirmation of approved status prior to shipment
- Shipping documentation and release authorization
- Date/time and responsible personnel

authorization and verification.

Step 1 — Verify Shipment Accuracy and Material Identity
- Confirm shipment contents, material identity, lot, and quantities against the shipping order or request.
- Verify physical labels and identifiers match system and shipping documentation.
- Any mismatch in material identity, quantity, or shipment details is stopped and raise a QMS Quality Event.
Step 2 — Confirm Approved Status Prior to Shipment
- Verify all materials included in the shipment have an approved status in the system of record.
- Materials not in an approved or authorized-for-shipment status are not released and raise a QMS Quality Event.
Step 3 — Review Shipping Documentation
- Confirm required shipping documentation is complete, accurate, and available (e.g., packing list, bill of lading, certificates as applicable).
- Verify documentation aligns with shipment contents and destination.
- Missing, incomplete, or incorrect documentation is addressed or raise a QMS Quality Event.
Step 4 — Authorize and Release Shipment
- Authorize shipment release in accordance with applicable procedures and system controls.
- Record date/time and responsible personnel associated with shipment release.
- Shipments released without proper authorization are escalated and raise a QMS Quality Event.
Step 5 — Maintain Shipment Traceability
- Ensure shipment records support traceability to materials, lots, customers, and downstream distribution.
- Confirm shipment documentation is retained or accessible in accordance with record retention requirements.
- Traceability gaps or record discrepancies are identified and raise a QMS Quality Event.
